MediConf UK – Terms & Conditions

About MediConf UK

MediConf UK is a private primary care education provider established in 2007. We are not a CCG or a charity.

To keep our courses free or heavily subsidised, MediConf relies on carefully selected educational sponsorship, which may include sponsored sessions, polls, or exhibitions at live and online events. Without sponsorship, course fees would typically be £120 per delegate.

If you do not wish to attend sponsored educational events, please do not book our courses.

Eligibility

Our courses are designed exclusively for UK-based Healthcare Professionals.

To be eligible, delegates must:

• Practise within the United Kingdom
• Be a registered Healthcare Professional
• Provide a current surgery or patient-facing primary care address (home addresses are not accepted)

Failure to comply with eligibility requirements may result in account deletion without notice.

Members of the public are not permitted to attend MediConf events.

Booking a Course
 

• All bookings must be made via the MediConf website only
• We do not accept bookings by phone or email
• Confirmation emails will include your place, registration number, and essential event information

By booking a course, you confirm acceptance of these Terms & Conditions.

Online Webinars

Access & Attendance
 

• Webinars are delivered via the Zoom Webinar platform
• Links are sent 1 week, 1 day and 1 hour before the event
• You must inform MediConf where you will be logging onto a webinar via an alternative email address
• Please check junk/spam folders
• If you do not receive your link, email webinar@mediconf.co.uk in advance of the webinar start time. Late entry may not be possible once the webinar has started.
   

Recordings
 

• Webinars are not recorded for delegate later viewing due to speaker copyright and intellectual property restrictions
   

Technical Issues
 

• Delegates are responsible for their own internet connection and devices
• Where applicable, refunds are only issued if MediConf fails to deliver the course
• Dial-in access by phone is no longer available.
   

Online Meetings (Non-Webinar Events)

Some events may be delivered via Zoom Meetings to allow sponsor breakout rooms.

Delegates must:

• Switch camera and microphone off once the event begins
• Ensure they are always muted unless instructed otherwise

MediConf is not responsible for conversations overheard due to delegate failure to mute audio.

Face-to-Face Events

Free Courses

Free course places are available only to:

• UK Primary Healthcare Professionals

All delegates must provide a current surgery address at registration.

Free courses are supported by sponsorship covering:

• Speaker fees
• Administration and staffing
• Insurance
• Website and Zoom costs

If you do not agree with sponsored education, please do not book.

Oversubscribed Online Events

Due to high demand and a 30% non-attendance rate:

• Events may be oversubscribed
• Zoom webinars are limited to 1,000 attendees
• Access is on a first come, first served basis at the start time

Once logged in, remain connected. If you leave the webinar, your place may be allocated to another delegate.

Enquiries cannot be dealt with 15 minutes after the event has started.

Failure to cancel bookings you cannot attend may affect future eligibility.

Fee-Paying Courses
 

• Payment must be made in advance
• Fees are non-refundable and non-transferable
• Subsidised fees range from FREE to £30, depending on the course
• Eligibility and address verification apply to ensure correct pricing

You may cancel via your online account, but no refunds or transfers are offered.
Course materials remain accessible via your membership account.

Cancellations & Changes

MediConf Cancellation

Courses may be cancelled or rescheduled due to circumstances beyond our control (e.g. speaker availability, adverse weather).

Where a course is cancelled and not rescheduled:

• A full refund will be issued once cancellation acknowledgement is received
   

Delegate Cancellation
 

• Paid courses: no refunds or transfers
• Free courses: failure to attend removes access to post-course materials

To cancel, log into your account and click the CANCEL icon.

Course Content, Materials & Certificates
 

• Agendas are followed wherever possible but may vary due to audience interaction
• Some images may not be included in downloads due to copyright
• Certificates and materials are available:
  • 6 months for sole-sponsored events (where approved by the sponsoring company)
  • 12 months for all other events

Duplicate certificates and materials incur a £15 admin fee each.

CPD certificates are issued only for full attendance. Partial attendance does not qualify for full CPD points.

Data Protection & Sponsorship Communication

By booking a course, you agree that:

• MediConf may contact you about future events
• Sponsors receive delegate lists containing:
  • Name
  • Job role
  • Surgery address
  • GMC / PIN

MediConf does not share:

• Home addresses
• Telephone numbers
• Email addresses

Email addresses are only shared with sponsors if explicit consent is given (e.g. via webinar polls).
